Priorities, Holds & Challenges

Cancellation – If an event is cancelled after a deposit has been paid, the deposit is forfeited, and the client will be invoiced for any incurred or committed expenses.

Priorities of Acceptance

  1. Arden Theatre Professional Programming
  2. User group rental history
  3. City of St. Albert sanctioned event
  4. Financial sustainability

Secured Hold

  • Placing any date on a secured hold will require a non-refundable, non-transferrable deposit of $300 per day for Local Not-for-Profit Licensees, and $500 per day for Commercial or Outside* Not-for-Profit Licensees.
  • The deposit will be taken by theatre administration in the form of cheque or credit card.
  • All secured deposits are non-refundable and will be credited to the final bill.

*Outside is any licensee with a billing address outside of St. Albert.

First Hold

  • A first hold may be placed on a date for a limited time without a deposit, or until there is a challenge to the hold.
  • Once our office is notified of a decision to use the date(s), we require a non-refundable deposit of $300/day for Local Not-for-Profit Licensees or $500/day for Commercial and Outside* Licensees

*Outside is any licensee with a billing address outside of St. Albert.

Second Hold

  • A second hold may be placed on a date with an existing hold.
  • If the first hold cancels, the second hold will be contacted and offered the date.

Challenge

  • Should the second hold wish to secure the date immediately, they may challenge the first hold by making an official request to the theatre.
  • Once the challenge has been initiated, the theatre will contact the first hold, who will be given the first option of securing the date by paying the deposit or releasing the hold.
    • The theatre will not make more than three attempts to contact the first party, and that party shall respond within three working days.
    • If the theatre cannot reach the first party, or they fail to respond, the date(s) will be released to the second party.
  • If the first hold pays the deposit to confirm the date, then the challenge will be nullified. If the first hold releases the date, then the challenger will be offered the date and sent a deposit invoice ($300 per day for Local Not-for-Profit Licensees, and $500 per day for Commercial or Outside* Not-for-Profit Licensees), and the second hold will retain the date.

*Outside is any licensee with a billing address outside of St. Albert.
